"Our experience of using Apricot" by Luke Woodjetts, Short Breaks Coordinator, The Springboard Project

The Springboard Project is a community based charity in West Sussex that provides inclusive play and leisure opportunities for families with young children and fun short breaks for children and teenagers with disabilities.

We purchased Apricot six months ago. Our goals going into this process were to standardise work across the charity and have better data collection. We are still writing some reports for the database, so haven’t been able to put everything in place yet, however once we are finished we will be able to produce better data and reports than we ever have.

We have been able to migrate our old paper based records on to Apricot, enabling us to access records wherever we have an internet connection, allowing our staff to work more effectively and efficiently when hot-desking.   

As all of this data is now centrally stored we are able to quickly extract data, such as the ages, gender, disability, location of our members in a matter of seconds. This only takes a small fraction of the time it would have taken before, as we would have gone through each of our member’s forms one by one. 

As part of or disability groups funding reports we need to keep a track on the amount of sessions delivered, how may children have attended each of our 6 groups. Apricot again has enabled us to create specific reports that allow is to extract this data in a matter of minutes.

Our Apricot has been built from scratch which meant that we could tailor it to meet with our existing working processes. We have also added extra elements to the database that we now use in our workplace that we didn’t previously.

Having the support from The Gallery Partnership was great. We were able to tailor make the training and implementation sessions in a way that suited us as learners. We were able to set up meetings in their office in London and have practical hands on experiences, which really made all the difference when it came to us creating T1, T2 and reports back at our centre. We were also able to call and email any questions we had, and receive easy to follow instructions and guidance to support us through making any adjustments.

Overall it has been a very positive experience and we are happy to recommend Apricot to other organisations.
